The problem: quoting takes too much time

Building a logistics quote is one of the most time-consuming tasks at freight forwarders. Sea and air freight rates are scattered across carrier portals, Excel rate sheets, contract-rate databases and emails from sales representatives. For every quote request, an operator has to log in manually to multiple carrier websites, look up rates, calculate surcharges and consolidate everything into a presentable document.

On average, producing a single quote takes 45 minutes. At 10 to 20 requests per day, quoting becomes a full-time job. And the longer a customer waits for a quote, the higher the likelihood that customer will go to a competitor. Slow quote response is the leading cause of customer loss in the logistics industry.

How the AI agent automates quoting

The Logentic AI agent receives a quote request, via email, WhatsApp or manual input, and generates a complete, professional quote within minutes. The full process from rate comparison to PDF generation runs automatically.

Request recognition
The agent automatically identifies quote requests in incoming emails. Origin, destination, goods description, weight, volume and required Incoterms are extracted without any manual input.
Multi-carrier comparison
Rates from MSC, Maersk, CMA CGM, Hapag-Lloyd, Evergreen, ONE and COSCO are compared in parallel, both FCL and LCL, including all surcharges and accessorials.
Surcharge calculation
BAF, CAF, THC, ISPS, documentation fees, peak-season surcharges and port charges are calculated and added automatically. No hidden costs, no manual maths.
PDF generation & delivery
A professional PDF quote is generated in your corporate branding, including a full rate breakdown, Incoterms notes and validity period. The quote can be dispatched to the customer automatically.

FCL & LCL rate comparison

For Full Container Load (FCL) shipments, the agent compares rates for 20', 40', 40'HC and 45'HC containers across all available carriers on the requested trade lane. Transit times, available sailings and free demurrage days are included in the comparison, so you can always present the best option.

For Less than Container Load (LCL), the agent calculates rates on the basis of W/M (weight/measurement) ratio, including consolidation costs, CFS charges and any applicable minimum charges. The agent takes into account CFS cut-off times and live availability at consolidators in Rotterdam and other European hubs.

Incoterms: from EXW to DDP

Every quote is built according to the Incoterms condition requested by the customer. The agent understands the difference in cost and risk allocation across all common Incoterms and adapts the quote accordingly.

EXW & FOB
For Ex Works and Free On Board, inland transport at the origin side, export costs and port charges are quoted either separately or bundled, depending on the customer's preference.
CIF & CFR
Cost, Insurance & Freight quotes automatically include a calculated cargo insurance premium based on the goods value, together with the ocean freight rate and all surcharges.
DAP & DDP
Delivered At Place and Delivered Duty Paid quotes cover the full door-to-door leg: ocean freight, port, inland transport, customs charges, import duties and VAT settlement at destination.
Margin management
Your target margin is applied automatically, per customer, per trade lane or per line item. The agent accounts for customer-specific agreements and volume-based discounts.

Professional PDF quotes in your corporate branding

Every quote is generated as a professional PDF in your company's branding. The document contains a clear breakdown of all cost components: ocean freight per container or per W/M, terminal handling charges, documentation fees, surcharges (BAF, CAF, ISPS, peak season), inland transport and any customs-related costs.

The quote also includes the validity period, payment terms, an explanation of the Incoterms used and your general terms and conditions. Upon customer approval, the agent can immediately initiate the booking with the selected carrier.

From quote request to customer response: the full process

The process starts when a customer sends a quote request by email or WhatsApp. The AI agent parses the request, identifies the required parameters (origin, destination, goods, weight, volume, Incoterms) and kicks off the rate comparison. Within 4 minutes, a complete quote is ready.

The quote can be dispatched to the customer automatically, or first routed to your sales operator for approval. After sending, the agent monitors whether the customer responds. If there is no reply, an automatic follow-up is sent after an interval you configure. This maximises your conversion rate without any manual chasing.

Integration with your existing rate sources

The agent works with the rate sources you already have. Contract rates from your TMS or Excel sheets are imported. Spot rates are retrieved through direct connections with carrier portals and rate platforms such as Freightos and Xeneta. The agent keeps rates up to date and flags when contract rates are about to expire or when spot rates deviate materially from your usual level.

Every generated quote is stored in a searchable archive, including the rates used, the customer response and the final outcome (won, lost, expired). This gives you visibility into your win rate by trade lane, by customer and by carrier.
