1. Who we are

BI Solutions B.V., trading under the name Logentic, is responsible for the processing of personal data as described in this privacy policy. We offer an AI Managed Service for logistics companies, freight forwarders and customs agents in the Netherlands and Europe.

2. What data we collect

Depending on how you use our service, we may process the following personal data:

Contact details: name, e-mail address, telephone number, job title and company name of contact persons at clients, carriers, shipping lines and customs authorities.

Logistics document data: information from Bills of Lading (B/L), CMR consignment notes, Air Waybills (AWB), invoices and packing lists that may contain personal data, such as names of shippers, consignees and contact persons.

Communication data: content of e-mails processed by our AI agent, including sender and recipient addresses, timestamps and attachments.

Usage data: login credentials, IP addresses, browser type, device information and interaction data with our platform.

Website data: data submitted via our contact form or demo request form, such as name, company, e-mail address and your message.

3. Legal bases for processing

We process personal data on the basis of the following legal grounds under the General Data Protection Regulation (GDPR):

Performance of a contract (Art. 6(1)(b) GDPR): the processing is necessary for the performance of our services to your organisation, including the processing of logistics e-mails, the reading of transport documents and the automatic generation of quotes.

Legitimate interest (Art. 6(1)(f) GDPR): we have a legitimate interest in improving our services, securing our systems and conducting analyses to ensure the quality of our AI models.

Legal obligation (Art. 6(1)(c) GDPR): in certain cases we are legally obliged to process data, for example for tax purposes or in the context of customs and trade regulations.

Consent (Art. 6(1)(a) GDPR): for placing non-essential cookies and for sending commercial communications we request your prior consent.

4. How we use your data

We use your personal data for the following purposes:

• Providing and maintaining our AI Managed Service, including the automatic processing of incoming e-mails, extracting data from B/Ls, CMRs and other transport documents, drafting quotes and keeping Track & Trace information up to date.
• Communicating with you about our services, including service notifications, maintenance updates and invoicing.
• Improving and optimising our AI models and processing workflows.
• Complying with legal obligations, including customs and trade regulations.
• Securing our systems and preventing fraud and misuse.
• Handling your enquiries and requests submitted via our contact form.

5. AI and automated processing

Our service uses artificial intelligence (AI) for the automated processing of logistics data. This includes:

E-mail processing: our AI agent reads and classifies incoming logistics e-mails, extracts relevant data (such as booking references, container numbers, ETAs and freight details) and automatically performs the appropriate follow-up actions.

Document processing: transport documents such as Bills of Lading, CMR consignment notes and Air Waybills are analysed by our AI. Relevant data is extracted and stored in a structured manner in your operational systems.

Quote automation: based on incoming requests and historical rates, our AI generates draft quotes that can be reviewed and sent by your team.

Shipment tracking: our AI actively monitors the status of shipments through integrations with shipping lines, terminals and Portbase, and proactively informs stakeholders of any deviations.

These automated processing operations do not lead to decisions based solely on automated processing that produce legal effects concerning data subjects or similarly significantly affect them (Art. 22 GDPR). Our AI supports human decision-making; final review and approval always rest with your staff.

6. Sharing of data

We share your personal data with third parties only where necessary for our services or where we are legally obliged to do so. This includes, among others:

Sub-processors: we use carefully selected sub-processors for hosting (EU-based), e-mail services and AI processing capacity. We have concluded data processing agreements with all these parties in accordance with Art. 28 GDPR.

Logistics partners: in the context of our services, data may be shared with shipping lines, terminals, customs authorities and other logistics supply chain partners, insofar as this is necessary for the performance of our clients' logistics assignments.

Government authorities: we may provide data to competent authorities if we are legally obliged to do so, for example in the context of customs inspections or tax audits.

We do not sell your personal data to third parties and do not use it for third parties' commercial purposes.

7. Transfers outside the EEA

We strive to process your personal data within the European Economic Area (EEA). If a transfer to a country outside the EEA is necessary (for example for certain AI processing services), we ensure that appropriate safeguards are in place, such as the use of Standard Contractual Clauses (SCCs) approved by the European Commission or an adequacy decision.

8. Retention periods

We do not retain your personal data longer than necessary for the purposes for which they were collected. The following retention periods apply:

Contractual data: for the duration of the agreement and up to 2 years after termination, unless a longer retention period is legally required.
Logistics document data: in accordance with the statutory retention obligation for customs documents (7 years) and the tax retention obligation (7 years).
E-mail communication: for the duration of the services and up to 1 year after termination.
Website data and demo requests: a maximum of 1 year after the last contact.
Cookie data: in accordance with the retention periods stated in our cookie policy (see section 10).

9. Your rights

Under the GDPR, you have the following rights with respect to your personal data:

Right of access: you may request which personal data we process about you.
Right to rectification: you may request that incorrect or incomplete data be corrected.
Right to erasure: you may request that your personal data be deleted, unless we are legally obliged to retain them.
Right to restriction: you may request that the processing of your data be restricted.
Right to data portability: you may request to receive your data in a structured, commonly used and machine-readable format.
Right to object: you may object to the processing of your data based on a legitimate interest.
Right to withdraw consent: if processing is based on consent, you may withdraw it at any time.

You can submit your request via alex@logentic.nl. We will respond to your request within 30 days. If you believe that we are not processing your personal data correctly, you have the right to lodge a complaint with the Dutch Data Protection Authority (www.autoriteitpersoonsgegevens.nl).

10. Cookies

Our website uses cookies and similar technologies. We distinguish the following categories:

Strictly necessary cookies: these cookies are essential for the functioning of the website and cannot be disabled. They are used, for example, for session management and security purposes.

Analytical cookies: we use analytical cookies to gain insight into the use of our website, such as the number of visitors, the most visited pages and the source of visitors. This data is processed in anonymised form.

Functional cookies: these cookies remember your preferences, such as language settings, in order to improve your user experience.

On your first visit to our website, we ask for your consent to place non-essential cookies. You can adjust your cookie preferences at any time via your browser settings.

11. Security measures

We take appropriate technical and organisational measures to protect your personal data against unauthorised access, loss, misuse or alteration. These measures include, among others:

• Encryption of data in transit (TLS 1.2+) and at rest (AES-256).
• Access control based on the need-to-know principle and multi-factor authentication.
• Regular security audits and penetration tests.
• Hosting in ISO 27001-certified data centres within the EU.
• Logging and monitoring of all data processing activities.
• Secure connections for all integrations with external systems, including Portbase and shipping line APIs.
• Regular training of staff in the area of information security and privacy protection.

12. Changes to this privacy policy

We reserve the right to amend this privacy policy. We will communicate material changes to you in good time by e-mail or via a notice on our website. We recommend that you consult this privacy policy regularly. The date of the most recent amendment can be found at the top of this page.
